YOUR TASKS:
- Answering the mainline in a timely manner, responding or referring inquiries. Transferring calls, taking messages where necessary.
- Welcome visitors and clients by greeting them and showing them to the meeting room.
- Setting-up meeting rooms for external and internal events.
- Schedule external & internal meetings, VC’s & conference calls, confirming meeting details and send calendar invites, as well as assist with the preparation of meeting materials and agendas as of when needed.
- Team admin support for all office including photocopying, scanning, binding presentations.
- Book and arrange UK & international couriers, keeping a log of all jobs.
- Handle incoming and outgoing correspondence, including post, parcels and invoices.
- Maintaining stationary supplies and fridges are fully stocked, ensuring stock spreadsheet is updated accordingly.
- Helping the HR/Administration Manager with the daily business and recurring tasks such as maintenance, waste management, safety, and fire equipment inspections, coordinating with external vendors
- Reviewing & processing expense claims, ensuring claims are in line with Company policy.
- Receiving and processing incoming invoices (by post and email) and monitoring of accounts payable inbox.
- Raise purchase orders in a timely manner, ensuring all information is accurate including cost centres, bank details, dates, and address.
- Responding to supplier payment queries, sending remittance advice when necessary.
- Create and issue building access badges whilst liaising with building security to activate / deactivate passes.
- Ad-hoc support to the HR / Administration Manager.
- Create permits for upcoming engineers for works being carried out on the floor.
YOUR PROFILE & SKILLS:
The candidate should meet the following requirements:
- You must be based in London and allowed to work in the UK.
- You are either a student with at least 2-3 years of post-secondary education or an early-career professional seeking their first opportunity.
- Excellent communication skills.
- Ideally previously worked within a Financial Institution or Professional services organisation.
- Good level of Excel.
- Good working knowledge of Outlook, Word and Powerpoint.
RECRUITMENT PROCESS:
Between 2 and 3 rounds of interviews: both fit and technical questions
